WildTopography Booking Policy


Effective Date: May 5, 2026

Thank you for booking with WildTopography LLC. WildTopography services are offered by Reanea Clark, coach, intuitive guide, creator, and founder of WildTopography.

This Booking Policy applies to appointments, consultations, coaching sessions, WildGuidance sessions, tarot/oracle readings, spiritual reflection sessions, workshops, private calls, virtual sessions, and any other scheduled service offered through WildTopography.

By booking a service with WildTopography, you acknowledge that you have read, understood, and agreed to this Booking Policy.

1. Scope of Services

WildTopography may offer services including, but not limited to:

  • Coaching consultations

  • 1:1 guidance sessions

  • WildGuidance sessions

  • Tarot, oracle, or intuitive readings

  • Spiritual reflection sessions

  • Journaling or self-discovery support

  • Creative consultation

  • Educational sessions

  • Workshops, circles, or guided experiences

  • Virtual or phone appointments

WildTopography services are intended for education, personal reflection, creativity, spiritual exploration, entertainment, intuitive insight, and self-development.

WildTopography does not provide medical care, mental health counseling, therapy, diagnosis, treatment, legal advice, financial advice, crisis intervention, or emergency services.

 

2. Booking & Payment

Appointments must be booked through the official WildTopography website, booking platform, scheduling link, or another approved booking method.

Payment is due at the time of booking unless otherwise stated. Your appointment is not confirmed until payment has been received and a booking confirmation has been issued.

For free consultations, no payment is required; however, the same cancellation, rescheduling, late arrival, and no-show policies still apply.

Clients are responsible for providing accurate contact information, including a valid email address and/or phone number, at the time of booking.

 

3. Appointment Confirmation

After booking, you should receive confirmation through the booking platform, email, or another approved communication method.

It is your responsibility to review your appointment date, time, time zone, location, virtual meeting link, service type, and any preparation instructions.

If you do not receive confirmation, please contact WildTopography before assuming your appointment has been scheduled.

 

4. Time Zones

All appointment times are shown in the time zone displayed by the booking platform at the time of scheduling.

Clients are responsible for confirming the correct appointment time in their own time zone.

WildTopography is not responsible for missed appointments caused by client confusion regarding time zones.

 

5. 24-Hour Cancellation & Rescheduling Policy

WildTopography requires at least 24 hours’ notice for cancellations or rescheduling requests.

Cancellations or rescheduling requests made 24 hours or more before the appointment time may be rescheduled without penalty, subject to availability.

Cancellations or rescheduling requests made less than 24 hours before the appointment time may result in the session fee being forfeited or a cancellation fee being charged.

This policy allows room for real life while still honoring the time, preparation, and energy reserved for each appointment.

 

6. Written Cancellation & Rescheduling Requests

All cancellation and rescheduling requests must be submitted in writing.

Acceptable written methods may include:

  • Email

  • Website contact form

  • Booking platform message

  • Other approved written communication method

A cancellation or rescheduling request is not considered confirmed until WildTopography or Reanea Clark has provided written confirmation.

Clients are responsible for keeping a copy of their cancellation or rescheduling request and any written confirmation received.

If you do not receive written confirmation, please follow up before assuming your appointment has been canceled or rescheduled.

 

7. Rescheduling Limits

WildTopography will make reasonable efforts to accommodate rescheduling requests when proper notice is given.

Sessions may generally be rescheduled one time without penalty when requested at least 24 hours in advance.

Additional rescheduling requests may be approved or denied at WildTopography’s discretion.

Repeated cancellations, repeated rescheduling, or repeated missed appointments may result in limited future booking access.

 

8. No-Show Policy

A no-show occurs when a client does not attend their scheduled appointment and has not provided proper written notice.

If you miss your appointment without notice, the session will be considered forfeited.

No-shows are non-refundable.

WildTopography reserves the right to charge or retain the full session fee for missed appointments.

For free consultations, repeated no-shows may result in limited or denied access to future free consultations or appointments.

 

9. Late Arrival Policy

Please arrive on time for your scheduled session.

If you are late, your session may still end at the originally scheduled time in order to honor other appointments and commitments.

The full session fee still applies.

If you are more than 15 minutes late without communication, the appointment may be treated as a no-show and forfeited.

 

10. Refund Policy for Booked Services

Due to the time, preparation, scheduling, and energetic commitment involved, all booked service sales are generally considered final.

Refunds are not guaranteed and are handled on a case-by-case basis.

Refunds will not be issued for:

  • No-shows

  • Missed appointments

  • Late cancellations made less than 24 hours before the appointment

  • Late arrivals

  • Completed services

  • Delivered readings

  • Client dissatisfaction based on subjective interpretation

  • Failure to use or attend a booked service

  • Failure to provide required preparation materials

  • Digital products, downloads, courses, or shop items, which are covered by the separate Store Policy

If WildTopography or Reanea Clark needs to cancel or reschedule your appointment, you will be offered the option to reschedule or receive a refund for the affected service.

 

11. Emergency & Illness Exceptions

WildTopography understands that emergencies, illness, and unexpected situations may happen.

Exceptions to this policy may be made at the sole discretion of WildTopography.

Please communicate in writing as soon as possible if something urgent prevents you from attending your appointment.

Emergency exceptions are not guaranteed, but they will be considered with care.

 

12. Client Responsibilities

By booking a service with WildTopography, you agree to participate respectfully, honestly, and responsibly.

Clients are responsible for:

  • Showing up on time

  • Providing accurate contact information

  • Reading booking confirmations

  • Checking email or booking platform messages

  • Confirming appointment time and time zone

  • Providing requested preparation materials

  • Communicating scheduling issues promptly and in writing

  • Attending from a safe, private, and appropriate environment

  • Making their own informed decisions after the session

WildTopography reserves the right to refuse, end, or discontinue service if a client is abusive, threatening, discriminatory, inappropriate, harassing, unsafe, or violates the boundaries of the session.

 

13. Preparation Materials & Client Submissions

Some services may invite or require clients to submit questions, topics, birth information, photos, forms, reflection responses, or other materials before the appointment.

Clients are responsible for submitting requested materials by the stated deadline.

Failure to submit preparation materials on time may limit the depth or scope of the session and does not automatically qualify the client for a refund, extension, or rescheduled appointment.

Clients are responsible for ensuring all submitted information is accurate and complete.

 

14. Virtual Sessions & Technology

Many WildTopography sessions may take place virtually by video call, phone, or another online platform.

Clients are responsible for ensuring they have:

  • A stable internet connection

  • Working audio and/or video access, if needed

  • A private and appropriate space for the session

  • The correct meeting link or access instructions

  • A charged device or reliable equipment

If technical issues occur on the client’s end and prevent the session from taking place, the appointment may be treated as missed or may be rescheduled at WildTopography’s discretion.

If technical issues occur on WildTopography’s end, the session will be rescheduled or otherwise resolved fairly.

 

15. Communication Boundaries

WildTopography may communicate with clients through email, booking platform messages, website forms, or other approved channels.

Session-related communication outside the scheduled appointment may be limited to booking, payment, preparation, delivery, support, or follow-up logistics.

Booking a session does not include unlimited messaging, ongoing coaching, crisis support, or open-ended access to Reanea Clark unless explicitly included in the purchased service.

 

16. Coaching & Guidance Disclaimer

Reanea Clark offers coaching, intuitive guidance, reflective support, creative exploration, spiritual reflection, and educational services through WildTopography.

Coaching is not therapy. Coaching is not medical care. Coaching is not legal, financial, clinical, or emergency advice.

WildTopography sessions may support personal reflection, self-awareness, spiritual exploration, creative development, emotional insight, and life direction, but they are not a replacement for licensed professional support.

Clients remain fully responsible for their own choices, actions, relationships, health, finances, spiritual practices, and life decisions.

 

17. Tarot, Oracle, Ancestral Messages & Intuitive Reading Disclaimer

Tarot readings, oracle readings, ancestral messages, intuitive guidance, spiritual reflection, and similar services are offered for personal insight, reflection, spiritual exploration, entertainment, and self-development purposes only.

Readings do not guarantee specific outcomes, predictions, results, timelines, relationships, financial changes, health changes, or life events.

WildTopography and Reanea Clark are not responsible for decisions made by clients based on a reading, session, intuitive message, or spiritual reflection.

Clients remain fully responsible for their own interpretation and use of any guidance received.

 

18. Health, Mental Health & Crisis Disclaimer

WildTopography services are not a substitute for medical care, mental health treatment, therapy, counseling, psychiatric care, diagnosis, medication, legal advice, financial advice, or crisis support.

If you are experiencing a medical emergency, mental health crisis, suicidal thoughts, self-harm urges, domestic violence, abuse, or immediate safety concern, please contact emergency services, a crisis hotline, or a qualified professional in your area.

WildTopography is not equipped to provide emergency or crisis intervention.

 

19. Confidentiality & Privacy

WildTopography respects your privacy. Personal information shared during sessions will be treated with care and discretion.

Information shared in sessions will not be intentionally disclosed without your consent, except when required by law or when there is a serious concern involving safety, harm, abuse, legal obligation, suspected abuse of a minor or vulnerable person, threats of violence, or court/legal process.

Because WildTopography is not a licensed therapy, medical, legal, or financial provider, confidentiality should not be understood as therapist-client privilege, attorney-client privilege, doctor-patient privilege, or any other legally protected professional privilege.

Additional privacy terms may be included in WildTopography’s separate Privacy Policy.

 

20. Recording Policy

Sessions may not be recorded by the client without prior written permission from WildTopography.

WildTopography will not record a private session without informing the client.

If recording is permitted, the recording is for personal use only and may not be copied, sold, published, posted, distributed, uploaded, or shared without written permission from WildTopography.

 

21. Intellectual Property

All WildTopography materials, including but not limited to session structures, worksheets, written content, readings, exercises, guides, rituals, prompts, frameworks, meditations, course materials, branding, and digital resources, remain the intellectual property of Reanea Clark and/or WildTopography LLC unless otherwise stated.

Clients may use materials provided to them for personal use only.

Materials may not be copied, reproduced, resold, redistributed, taught, published, uploaded, shared publicly, modified for resale, used commercially, or used to train AI systems without written permission from WildTopography.

 

22. Personal Use Only

Unless otherwise stated in writing, all session materials, readings, notes, guides, recordings, exercises, and follow-up resources are provided for the client’s personal use only.

A booking does not grant commercial rights, teaching rights, resale rights, redistribution rights, licensing rights, or ownership rights.

 

23. Community & Group Conduct

If a booking includes access to a group, circle, workshop community, private page, member area, or community space, clients agree to follow WildTopography’s Community Guidelines.

Access may be removed for harassment, abuse, spam, unsafe conduct, boundary violations, privacy violations, or misuse of WildTopography spaces.

Removal for misconduct does not guarantee a refund.

 

24. Right to Refuse or Discontinue Service

WildTopography reserves the right to refuse, cancel, reschedule, end, or discontinue service at its discretion.

This may include, but is not limited to, situations involving:

  • Harassment

  • Threatening behavior

  • Disrespectful communication

  • Boundary violations

  • Inappropriate requests

  • Repeated no-shows

  • Repeated late cancellations

  • Payment issues

  • Chargeback abuse

  • Misuse of WildTopography materials

  • Unsafe or disruptive behavior

  • Requests outside WildTopography’s scope of services

If a session is ended due to client misconduct, no refund is guaranteed.

 

25. Chargebacks & Payment Disputes

Clients are encouraged to contact WildTopography first regarding any booking issue, duplicate charge, missed confirmation, technical issue, or service concern.

Filing a chargeback or payment dispute without first attempting to resolve the issue with WildTopography may result in suspension of access to future services, digital products, memberships, community spaces, or bookings while the dispute is reviewed.

WildTopography reserves the right to provide booking records, payment records, policy acceptance records, communication history, attendance records, cancellation history, written confirmation records, and service delivery evidence to payment processors or dispute-resolution providers when responding to chargebacks.

 

26. No Guaranteed Outcomes

WildTopography does not guarantee specific outcomes, transformations, predictions, emotional results, spiritual experiences, personal breakthroughs, healing, income, relationship changes, career changes, health changes, or life results.

Clients are responsible for how they interpret, apply, and act upon any information, reflection, guidance, prompts, readings, or suggestions received.

 

27. Limitation of Liability

To the fullest extent permitted by law, WildTopography LLC, Reanea Clark, and any affiliated creators, contractors, or representatives are not responsible for indirect, incidental, consequential, special, punitive, emotional, financial, personal, spiritual, technical, or business damages arising from the booking, purchase, attendance, nonattendance, interpretation, or use of any WildTopography service.

The client assumes responsibility for their own decisions, actions, interpretations, and outcomes.

WildTopography’s total liability for any claim related to a booked service shall not exceed the amount paid by the client for the specific service at issue, unless otherwise required by law.

 

28. Accessibility & Accommodation

WildTopography aims to provide services in a thoughtful and accessible manner where reasonable.

Clients who need accommodations should contact WildTopography before booking or as early as possible before the appointment.

Accommodation requests will be considered in good faith but are not guaranteed if they fall outside WildTopography’s ability, service format, scope, schedule, or available technology.

 

29. Changes to Services

WildTopography may update service descriptions, pricing, formats, availability, session lengths, policies, or booking procedures at any time.

The terms in effect at the time of booking will generally apply to that appointment unless otherwise required by law or agreed to in writing.

 

30. Governing Law

This Booking Policy and any bookings made through WildTopography are governed by the laws of the State of Montana, without regard to conflict-of-law principles.

Any disputes shall be handled in accordance with applicable Montana and United States law.

 

31. Agreement to Booking Policy

By booking a service with WildTopography, you confirm that you have read, understood, and agreed to this Booking Policy.

You also acknowledge that WildTopography services are offered by Reanea Clark for education, personal reflection, creativity, spiritual exploration, entertainment, intuitive insight, and self-development, and that you remain responsible for your own choices and decisions.
